A Shutdown Materials Coordinator who ensures all necessary parts, equipment, and materials are available and managed correctly throughout a plant or facility shutdown (turnaround) event, from planning and procurement through execution and close-out. Key responsibilities include tracking material requirements, coordinating logistics/expediting with suppliers and internal teams, managing on-site material storage in coordination with the warehouse department, overseeing material control by contractors, and maintaining detailed records and reports to ensure smooth, safe, and on-schedule execution of the shutdown.

Planning and Procurement
Identifies required spare parts and materials, checks material requisitions, assures orders are generated,
and coordinates with suppliers and procurement department to acquire long-lead items for the shutdown.
Logistics and Storage
Arranges for and manages temporary on-site and off-site storage areas for materials and equipment,
including access and egress. In cooperation with the warehouse department.
Material Control
Verifies the receipt, inspection, and tracking of all materials, ensuring they meet the requirements of the
shutdown’s Bill of Materials (BoM) and work packs.
Stakeholder Coordination
Liaises with various stakeholders, including company department leads, such as project teams,
maintenance, and contractors, procurement and warehouse to ensure materials are available when and
where needed.
Inventory Management
Monitors material levels, verifies counts, and resolves any stock anomalies or discrepancies to prevent
shortages that could hinder a successful TA outcome including monitoring/steering/confirmation of
material delivery dates.
Reporting and Documentation
Creates and maintains accurate material status reports, action logs, and other records, including close-out
reports and historical data.
Safety and Quality
Upholds the company’s safety policies and procedures for material handling and storage, ensuring
materials are stored correctly and in good condition.
Contractor Oversight
Supervises the contractor’s material team to ensure they are managing materials in accordance with
shutdown procedures and requirements.
